You can connect your practice online in under 20 minutes. Our team will call you the next business day to finalise setup, and your QR codes will be posted out to the practice. The transition is designed to be fast and non-disruptive to your daily operations.

Will our patients feel uncomfortable being handed to a third party?

We co-brand all patient communications with your practice name so patients understand we are acting on your behalf. Our friendly local Gold Coast team handles all patient contact and is available for any queries from your practice.

What happens when a patient misses a payment?

Accepted Answer

Our local team contacts the patient directly via SMS, email, and letter and retries failed payments. The practice is notified of missed payments weekly. After three missed payments, the account is escalated to our parent company COLLECT4U at no extra cost to the practice.

How often will the practice receive payment settlements?

We process patient payments weekly, fortnightly, or monthly and settle cleared funds to your bank account fortnightly or monthly. A remittance advice is provided with each settlement for easy reconciliation in your practice management software.

Do you charge fees or interest to patients?

Yes. We charge patients a once-off setup fee of $42.00 and a $1.10 transaction fee per direct debit. A $17.70 dishonour fee applies to failed payments, though this can be waived if the patient notifies us in advance. No interest is charged.

Do you have a partner portal for the practice?

Yes. All practices receive unlimited logins to our partner portal at no extra cost. The portal gives you real-time visibility over patient payments, settlement statements, and communications from our team.

What payment methods can patients use?

Accepted Answer

Patients can pay via direct debit, EFT, debit card, credit card, PayTo, and BPay. We support weekly, fortnightly, and monthly repayment frequencies to suit both the practice and the patient.

What happens to our existing payment plans if we switch to Safe Pay Smiles?

Accepted Answer

You can start new plans with Safe Pay Smiles from an agreed date while your existing plans continue to run down naturally. Alternatively, we can discuss transferring your current in-house plans across without disrupting existing patients.

Do you do a credit check on patients?

Accepted Answer

We apply internal credit criteria but do not conduct an external credit bureau check. The practice retains the final say on whether to accept a patient onto a payment plan.
